Checks that are generated via the Pay Bills and Print Checksprocess must be voided.
1. Access the Find Checks application from the Find Button dropdown list.
2. Locate the Check that you wish to delete and double-click on the line. You may need to change the Begin and End Date Range in the Find Check screen to locate the Check. If you change the date range, you must click on the Refresh button to display documents in the new range.
Key the check number in the Document Id column filter bar to quickly locate the Check. If you do not know the check number, you may filter on Document Type (must equal Vendor Payment) or Amount to help you locate the document. See Using Find Lists.
3. The Check will be loaded into the Check application
4. If you wish to record the voiding of the check in a fiscal period other than the period the check was originally issued, change the Post Date on the Check screen before proceeding to the next step and processing the void. Also, if the original check was issued and has a Post Date in closed period, you will be required to enter a Post Date for the void process to a date beyond the Fiscal Period Close Date.
5. Right click on the mouse in the header section of the Check application and select the Void Check option. You will be asked to confirm the voiding of the check. Click on Yes and the check will be voided and the vendor bills paid by the check will be available for payment selection again.
6. When a check is voided, the original check appears in the Find Checks application with a "V" (void) Status and the Void Check entry appears with a document type of "Void Check."
