1. Access the Company Setup application from the Company menu.
2. Click on the Batch Setup tab and check the Use Batchesfield. Key in initialization values for the module Last Batch Nbr fields. Batch numbers are assigned as follows: Two character module identifier + an eight digit number (Last Batch Number in Company Setup plus one)
For example: If you initialize the Last AR Batch Number in Company Setup to 79999999, the first Accounts Receivable batch number will be "AR80000000".
3. When Use Batches is checked, documents entered in Invoice/Credit Memo, Deposit, Bill, Check, Item Sale, and Item Adjustment are automatically places on Hold and they cannot be removed from Hold in those applications. The Hold field is display only when batch processing is being used.
4. Batch Numbers are assigned as follows:
If you click on Save without selecting a Batch Number, a new Batch Number for the module will be assigned by adding one to the Last Batch Number in Company Setup.
You may add the document to an existing Batch Nbr by selecting a batch number from the dropdown list. The Batch Nbr dropdown list will display the batch numbers for batches of the application documents that have not been released.
5. To release batches and update financial and customer, vendor or item balances, you must use the Batch Release process.
If you are using batch processing to provide a review and approval steps to the document entry process, you may want to consider setting up Users with access rights to the Batch Release process versus Users with rights to enter documents without rights to the Batch Release process.
6. Review the batch edit, control and account distribution reports that support the batch processing feature.
