Create A Customer Invoice From An Estimate

1.  Access the Find Estimate application from the Find Button dropdown list.

 

2.  Locate the Customer Estimate for which you wish to generate an invoice and double-click on the line.  You may need to change the Begin and End Date Range in the Find Estimate screen to locate the Customer Estimate .  If you change the date range, you must click on the Refresh button to display documents in the new range. 

 

Key in the estimate number in the Document Id column filter bar to quickly locate the Customer Estimate.  If you do not know the Document Id, you may filter on Customer, Amount or another field to help you locate the estimate.  See Using Find Lists.

 

3.  The Customer Estimate will be loaded into the Estimate application.

 

4. Right click on the mouse in the header section of the Estimate application and select the Create Invoice option.

 

5. You will be prompted to supply a Percentage To Bill or the percentage of the total estimate amount that you wish to generate an invoice for. 

 

6.  After you enter a percentage to bill, you will be asked to confirm the creation of an invoice.  Upon confirmation that you wish to create an invoice, the Invoice/Credit Memo application will be loaded with the newly created invoice.  

 

For example if the total estimate is for $500.00 and you select a Percentage To Bill of "50", an invoice will be generated for $250.00 dollars.  If there are five transaction detail lines on the estimate, each for $100.00, then the invoice will also have five transaction detail lines, each for the percentage to bill or $50.00 each. 

 

7.   When the invoice is generated, the invoice billing address defaults from the customer's entity address and the terms also default from the customer's default terms.  You may modify the invoice in the Invoice/Credit Memo application.

 

8.  ObjAcct will keep track of each invoice generated for a given estimate and will warn you at invoice generation time if you are going to exceed the original estimate amount.  ObjAcct does not prevent you from generating an invoice when the total invoiced amount will exceed the total estimate amount. 

 

9.  Also, you may make modifications to the generated invoices and ObjAcct will take these modifications into account when determining if the total amount invoiced for an estimate exceeds the total estimate amount.
